Notes from the Council: November Meeting

Fellowship meetings are being listed on Reddit.  Seeking presenters for 2019.
11 active members with 37 total members and friends.
Blog: 2 posts in Oct.

New Kroger number published on the web page.  Be sure to update any uncorrected pamphlets before handing them out.

Sharing posts and liking posts is working: Increased followers.  Responses help too.
74 followers on FB.

The Volunteer Hours Tracker Form has been created and will send a link out soon. Below is a non-comprehensive list of examples we reviewed that would be qualifying hours for volunteer work (and will be added to the web pages):
  • Attending a fellowship meeting is a minimum credit of 2 hours.
      (Council meetings and Membership vote meetings are 0 by law.)
  • Researching a topic relevant to GSSC that is shared with the council or membership such as
    • Researching or preparing a homily in anyway related to or benefiting GSSC then Presenting that homily at a fellowship meeting.
    • Reading the bylaws and policies, the state and federal laws that govern nonprofits, and reading Robert's Rules of Order
    • Researching land opportunities
  • Research to find available grants and filling out grant applications
  • Creating items for the Homeless Hookers Project or any work in relation to Homeless Hookers
  • Creating policies in support of GSSC goals outside of council meetings.
  • Administrative work done for GSSC outside of council meetings, such as Bookkeeping
  • Web page maintenance (including server hardware and hosting support)
  • Tasks in support of maintenance of the GSSC library
  • Being trained to do administrative activities while not holding the board position. Such as learning how to be the Historian, how to maintain the social media, the web page, file paperwork, etc. Assisting the board with such activities to help administrate.
  • Adding content to GSSC web pages (wiki, etc.)
  • Liking, sharing, or responding to GSSC content to increase page views on social media, Facebook and the Blog.  We can add more platforms if there is interest.
  • Tasks in relation to clergy, activities done as a GSSC clergy
  • Fundraising for GSSC
    • Paperwork associated with fundraising ideas
    • Time spent making or gathering items then donated to GSSC Inc, directly.
    • Time spent gathering or making items donated to the membership, such as food, clothing and coupon swaps.
    • Time spent making or gathering items for fundraising resale, (Remember, you can get reimbursed only cost of materials at time of sale.  If we pay for labor, it cannot be used for volunteer hours by law.  Donated items are a tax deduction!)
    • Signing up yourself or others to support GSSC via the Kroger rewards program or Smile.amazon.com|
  • Time spent driving long distances to support GSSC or its members
  • Time used for positive community building communications such as emailing and chatting about GSSC and the gist of which we'd hear about at a meeting if it is not a medium visible already to the council or membership.  Ex. Two people associated with GSSC meet for coffee and later one reports at a meeting, " I spent a couple hours talking with Sue, she's doing Ok.  I told her about the fundraiser ideas. She suggested a musician we could use." If it meets the requirements for a business call or lunch, etc, then we should be able to count the time.
  • Speaking out in support or talking positively to potential new members/supporters of GSSC or as PR
  • Any work or trips GSSC members do to further our goals or for community benefits.  Such as
    • our trip to see HH the Dalai Lama 14th
    • if we signed up as GSSC to volunteer to plant trees
  • Helping with any GSSC sponsored event (including setup and cleanup)

The council notes the action of the state of CA for reporting of donations/donors. Anonymity in state records may not be available to donors in the future.  The treasurer will create a committee to document toe procedure on filing the 990 as it relates to volunteer hours versus skilled labor donations.

UUFMC options discussed. Recommending a feasibility study for Samhain and Beltane.

Notes from the Council Meeting 10/7

Each council member will list a few items for hours and send to Jonathan for compilation by next meeting.  Other members or friends may suggest as well. Need to revisit hours and cost for skilled labor donations and members next meeting.

Membership count revisited. Due to previous year zero activity from June 2017 to June 2018, the following members were moved to friends: Kevin and Sharron Bye, Kendra Cantrell-Coyle, and Michael Haste. 11 active members.

A web-page will be setup to allow self reporting to a database and a spreadsheet is expected to be hosted in the living documents folder.  Current year membership hours will be prorated once we have the self reporting web page established. TBD.

It is noted proxies should not have been accepted at membership meetings as per current bylaws.  This will be policy going forward.

Gregory Roberts of Uband willing to record carols.  Need to polish them up first.
Homeless Hookers: 66 skeins of yarn collected for use.  Let us know if you want to knit/crochet any donations and we will get you some yarn.

The website new Kroger number needs published.

Social Media:  Sharing is working. Keep it up.

Notes from the Council: Aug + Sept Meeting

In the last 2 meetings, the following things went forward.

Current Assets:  1768.68 (Property Fund = $1292.51)

GSSC was listed on witchvox.com and our meeting time was posted to reddit.

Discussions on who/what/when for Pagan Pride in Louisville on Sept 8.  Sonny and Peter to be there with Theo and Tristan helping.

Sharing posts gets more views than just likes (facebook).

A discussion of defining regular participation for membership was held. A continuance of this discussion was held at the next meeting with changes.  The following proposal was motioned and accepted:

Membership Policy

As a community organization, we are defining who are able to guide it forward.  Guidance needs to be informed by participation with the community.  As such, we propose the following definition of regular participation for our community guides, the voting members:

1) Participation will be measured annualy, using a one year period beginning June 21st.
2) Included are any GSSC Inc sponsored events, fellowship meetings, or community-shared communications.  Participation will not include council meetings or membership meetings as they are operational.
3) Participation requires members to stay informed.  This means members must provide valid contact information; preferably a valid email, but may include their phone number and/or mail address, to allow communications regarding GSSC Inc.  This form of communication must remain valid and be updated when changed.
4) Participation can be in multiple forms and will be defined as hours for the purpose of record-keeping.  The total participation per year a member must meet is 200 hours.  Any combination of hours can be used to achieve the total.
    a)  Two hours for physical presence at a GSSC Inc. fellowship or sponsored event, possibly more as warranted.
    b)  One hour for participating in electronic discussions in a meaningful and relevant manner.
    c)  One hour for each volunteer hour done in service for GSSC Inc.
    d)  One hour for every $10 donated to GSSC with a maximum of 50 hours in this category.
5) A special waiver may be applied for in advance for prolonged educational, missionary, or military reasons only but must still include 3 hours participation.

Record keeping for volunteer hours are to be kept by the community coordinator and we plan to  provide a sign in sheet for each activity as available.

The council will continue discussions about volunteer hours next meeting and ask for input to define this better.

Cindy has decided to resign from the council at this time.

Based on conversation for current use, the council approved to replenish the Garden's discretionary fund.

Notes from the GSSC Council - July 2018

We will do a booth at the Pagan Pride Louisville including selling items or readings with cost recoup for those involved.  If you want to donate sellables, let us know.

The Chaplaincy plans to attend a Veterans Affairs informational in Louisville on July 26th.

For the August meeting, we will be reviewing proposals of definitions for "regular participation" to be a member that fit within our bylaws.  How would you define this?  Give us your feedback!

It was requested we keep an eye out for "other religion" and GSSC topics of interest texts to add to the Library.

Annual GSSC Membership Meeting Summary

The Membership Meeting was held June 10th.  The year's work was reviewed and we are making progress. 

Three votes were held and approved:
   1) Remove Brandon and Robin as members from the members roles due to no communication.
   2) Adopt a statement and post it:
        In light of the Supreme Court decision to the MasterPiece Cake Shop, Ltd vs.Colorado Civil Rights,
          we present this poem:

Jim White from the University of Colorado, on climate change, January 2018. Human activities are summarized in this recent lecture. The talk title is "Why Is Everything Melting So Fast??" and was given at the Weather and Climate Summit, Breckenridge, Colorado, USA on Tues-Thurs 16-18 Jan 2018. Dr. Jim White is the Director, Institute for Arctic and Alpine Research, University of Colorado.

A New Fundraising Venue

We are pleased to announce that Garden Source Spiritual Center, Inc., is now enrolled in the Kroger Community Rewards Program. This means that Kroger will make a financial contribution directly to the Garden for every purchase our members and friends make using their Kroger Plus card. You can help us by simply enrolling your Kroger Plus card using the directions below.

THE KROGER COMMUNITY REWARDS PROGRAM:

  1. To register your Kroger Plus card follow this link: krogercommunityrewards.com

  2. Be sure to have your Kroger Plus card handy to register your card with your organization after you sign up. (If you do not yet have a Kroger Plus card, they are available at the customer service desk at any Kroger.)

  3. If you are a new online customer to Kroger, if you are already registered on Kroger skip to step 4.

    • You will need to click on SIGN UP TODAY in the 'New Customer?' box. Sign up for a Kroger Rewards Account by entering zip code, clicking on favorite store, entering your email address and creating a password, agreeing to the terms and conditions.

    • You will then get a message to check your email inbox and click on the link within the body of the email.

    • Click on My Account and use your email address and password to proceed to the next step.

  4. Click on Sign in/Register

  5. Click on Edit Kroger Community Rewards information and input your Kroger Plus card number.

  6. Update or confirm your information.

  7. Enter our NPO number 84948, select Garden Source Spiritual Center, Inc., from list and click on confirm.

  8. To verify you are enrolled correctly, you will see the Garden's name on the right side of your information page.

  9. REMEMBER, purchases will not count until after you have registered your card(s).

  10. Do you use your phone number at the register? Call 800-576-4377, select option 4 to get your Kroger Plus card number.

  11. You will need to swipe your registered Kroger Plus card or use the phone number that is related to it when shopping for each purchase to count.


We now have two organizations that support The Garden, Amazon Smile and Kroger, for simply doing what we do every day – shopping.  Please help us by simply registering and using your Kroger Plus card as well as using Amazon Smile when making your online purchases.

The Sixth Extinction
